Emily for coaches and tutors
Finding a slot that works, moving it when something comes up, reminding people the day before, checking in afterwards. Emily does the scheduling and the follow-up by email, so your time goes on the sessions themselves.
A day with Emily
Brief Emily in a sentence between sessions. She writes to clients, students or parents as your assistant, books into your calendar and copies you in.
Illustrative examples of how a coach or tutor might use Emily - not real clients or students.

Intro calls
"Make me a booking link for 45-minute intro calls, weekdays 9 to 5, and send it to priya@example.com."
Done - Priya has a link to pick any free 45-minute slot on a weekday between 9 and 5. You can share the same link on your website too.

Move Thursday
"Move my Thursday 4pm with leo.parent@example.com to next week, same time if I'm free."
You're free next Thursday at 4pm, so I've asked Leo's parent if that works. Once they confirm, the calendar invite moves for both of you.

Tom - weekly check-in
"Every Sunday at 6pm, remind tom@example.com about his Tuesday session and ask what he'd like to focus on."
Set up - Tom gets that reminder every Sunday at 6pm and you're copied in. Tell me to stop or change it whenever you like.

Session notes - Ana
"Email ana@example.com the notes and exercises below, and check in on Friday if she hasn't replied."
Sent to Ana. If she hasn't replied by Friday, I'll send a friendly check-in and let you know what she says.

Group session
"Find a time next week for a 60-minute group call with these five clients."
I've sent one group request with times that suit you. Once everyone agrees, the invite goes to all six of you with a video link.

Morning brief
"Every weekday at 7:30am, send me what's in my diary today."
Set up - a short brief with today's sessions every weekday at 7:30am. Change the time or pause it whenever you like.
People pick a slot within the hours and days you choose, and it books straight into your calendar. Put it on your website or send it by email.
Ask Emily to move a session and she agrees a new time with the other person, then updates the invite for everyone.
Recurring reminders to clients or students on the day and time you set - and a brief to you of the day ahead.
Send notes or homework through Emily and she checks in later if there's no reply.
Emily finds a time that works for up to ten people with one group request, then sends everyone the invite.
Teams, Google Meet, Zoom or a link Emily hosts - added to every invite automatically.
A one-line email is enough. On a UK mobile you can text her too.
Beyond booking and reminders, this is what Emily is built around - whatever you teach.
Write the way you would to a PA: "Find an hour with Sam next week and chase the contract if he goes quiet." She asks when something isn't clear and will think a problem through with you, so she's a sounding board as well as a doer.
She does the back-and-forth with the other people, checks your calendars and just asks you to pick a time. Then she sends the invite and chases anyone who goes quiet.
Connect Google, Microsoft and Apple calendars, including more than one account of each. She checks them all before she offers a time and can keep one in sync with another.
Forward or CC her your own mail, or give your Emily address to clients, candidates and suppliers. She deals with what they send and can pass each kind of email to the right person on your team.
Rules for how she handles certain emails, notes she remembers about you and your contacts, and automations such as weekly updates, reminders and follow-ups.
She works from your files, notes and contacts, and uses live web search for anything beyond them, such as finding a local tradesperson or checking a fact.
She acts on what you ask and the rules you've set, can send you a draft first, and checks with you when she isn't sure. A message that fails sender checks is held, never acted on.
She never reads your mailbox. She sees only the emails that reach her and the calendars you connect, and your data is stored in the UK.
Email her from any provider, text her from a UK mobile, or connect her to Claude or ChatGPT and delegate from there.
Most scheduling pain isn't the first booking - it's the three emails it takes to find a time, and the two more when something moves. Emily handles both ways people like to book. Share a booking link and people pick a slot themselves within the hours you set; or ask Emily to arrange it and she emails times that suit you, agrees one and sends the invite. Either way it lands in your connected calendar with a video link.
A reminder the day before - or a question about what someone wants to work on - makes a session far more likely to happen, and to be useful. Set it once in a sentence: who to remind, when and what to ask. Emily sends it on schedule and copies you in, and you can pause or change it at any time.
Tutoring admin often runs through parents: agreeing times, moving lessons around school events, sending a note after a session. Emily writes to parents as your assistant and says so, keeps each conversation in its own email thread and copies you in, so you always know what's been arranged. She doesn't access any student records, and you decide what she sends.
Emily is an assistant you delegate to by email. To keep this page honest, here's what she doesn't do:
