Booking links

A booking link lets someone pick a time that suits you both - they see only when you're free, choose a time, and Emily sends everyone the invite. Share one anywhere, keep one for everyone, drop one into an email thread, or let a group vote.

Before you start

  • For people to book straight into your diary, connect a calendar. Without one, people tap the times that suit them and Emily asks you to confirm.
  • Set your hours and the days you can meet (including weekends, if you like) in Calendars & scheduling. Every link - including ones you've already shared - follows your current settings.

Make a link to share

  1. Open Booking link in Settings

    Go to Account settings, Booking link (under What Emily is connected to).

  2. Choose the meeting

    Online or in person, and how long - 15 minutes to 2 hours. It starts on 30 minutes, online.

  3. One booking, or reusable

    One booking closes once someone books (or after 14 days). Reusable takes any number of bookings, for 30 days, 90 days or until you turn it off - good for an email signature or website.

  4. Copy and share it

    Tap Copy link (or Share on your phone) and send it by text, WhatsApp, LinkedIn or email.

Or just email Emily: "send me a booking link", "a 1-hour in-person booking link" or "a reusable booking link for my signature" - she replies with one.

Your open links are listed under Your open links in the same panel, with how many bookings each has had. Copy one again or Turn off - anyone opening it afterwards sees it's closed.

In an email thread

Copy Emily into a thread (or forward it to her) and ask - "Emily, give Graham a booking link for a 30 min video call" or "Emily, can you send us a booking link?". She replies in the thread to the people you mean, with you copied:

  • One person gets their own link - no name or email to type, Emily already knows them.
  • Several people get one group link (see below).
  • Everything about that meeting - the invite included - stays in the same thread.

After that Emily stays quiet, and only replies when someone writes about the meeting - a time, the link, the place or a change. And if you copy her on an email without asking her anything, she doesn't reply at all.

Finding a time with a group

When you ask Emily to arrange a meeting with several people and your calendar is connected, she offers a few of your free times and one link. Each person picks their name, ticks every time they can make, and sees which times suit the others (first names only).

  • Everyone answers and one time suits all: Emily books it straight away and sends everyone the invite.
  • Otherwise, after 48 hours: she books the time more than half of them can make - always including anyone you said must be there ("Sam must attend").
  • No time works: she sends you the results to choose from; your one-word reply books it.

What the other person sees

  • Your first name, organisation, the meeting length and type, and the times you're free - in their own time zone if they like.
  • Never why you're busy, event titles or anything else from your calendar.
  • When the link is shared in a messaging app, its preview shows "Book a time with" your first name, and the length and type - no times.
  • On a link you shared yourself, they add their name and email so the invite reaches them.

Each time is re-checked against your calendar at the moment they book, so two people can never take the same slot. For in-person meetings without a venue, Emily holds the time and asks you where to meet. How we handle this data.

Troubleshooting
