Using Emily with Google Calendar

Connect Google Calendar and Emily can see when you are free, arrange meetings, book them in your calendar and add a Google Meet link. Emily reads your calendar only. She has no access to Gmail, your contacts or Drive.

Adding Emily to your Google account

Prerequisites: an Emily account (start a free trial at emily.whiterabbitfoundry.com) and a Google account with Google Calendar. On a Google Workspace account, an administrator may need to allow third-party apps.

  1. Open Emily's Calendars & scheduling settings - you will be asked to sign in first if you are not already.
  2. Select Google.
  3. Choose the Google account you want to connect.
  4. Review the access Google lists and select Continue. Leave the calendar permissions ticked, or Emily will not be able to complete the actions you ask for.
  5. Your Google account email appears in Emily's settings, confirming the connection.
  6. If you connect more than one calendar, choose which is your primary one, and optionally set Google Meet as your default meeting provider.

Using Emily with Google Calendar

Permissions used: Emily requests exactly two Calendar permissions. calendar.readonly covers everything she reads: your availability, event times and titles for briefings, and your list of calendars. calendar.events is the only write permission, used to create, update and cancel the events you ask for. openid, email, profile show which account is connected. If you choose the read-only option, Emily requests only calendar.readonly and will suggest times for you to book yourself. Emily does not request access to Gmail, contacts or Drive.

Google API Limited Use: Emily's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Your Google data is never used to develop, improve or train AI models, and is used only to provide the features you have asked for.

When Emily moves a meeting she updates the existing event in place, so attendees, the invitation and any meeting link are preserved and Google notifies your guests.

Removing Emily from your Google account

You can remove the connection from either side, and both fully revoke access:

  • From Emily: Settings → Calendars & scheduling → Disconnect beside your Google account.
  • From Google: go to myaccount.google.com/permissions, select Emily and choose Remove access.

What happens when you disconnect:

  • Emily's access to your calendar ends immediately.
  • Your stored access and refresh tokens are deleted from our systems.
  • Emily can no longer see your availability or create events. Asking her to arrange a meeting will prompt you to reconnect.
  • Events Emily already created remain in your calendar and invitations already sent keep working. Delete them in Google Calendar if you no longer want them.
  • Google Meet links already created continue to work, because they belong to the calendar event in your account rather than to Emily.
  • Any calendar mirroring you set up stops. Copies already written to the other calendar remain until you remove them.
  • We keep no copy of your calendar contents after disconnection.

To delete your Emily account and all associated data, email Emily "delete my account", or contact help@emily-wrf.com.

Troubleshooting

Emily can see your calendar but cannot create eventsA calendar permission was left unticked during sign-in, or you chose the read-only option. Disconnect, reconnect and leave both permissions ticked.
"Access blocked" or an administrator warningGoogle Workspace can restrict third-party apps. Ask your administrator to allow Emily, then connect again.
No Google Meet link on a meetingMeet links only exist on a calendar event, so Emily cannot create a standalone one. Ask her to book the meeting itself, or use Zoom or Teams for a link on its own.
Connection stopped workingAccess may have been revoked in your Google account, or a password change ended the session. Reconnect from Settings.
Events appear at the wrong timeCheck your timezone in Emily. Tell her "set my timezone to London" or update it in Settings.
